3.Event Services Form: After our Kick Off Call, your LOGBOOK dashboard will be loaded with a form called “Event Services Form” which is where you will choose all of your selections for Beverages (and culinary) in order to kick off the custom proposal with your selections.

 
  • 1. Hosted Bar (Open Bar)

    The host assumes financial responsibility for all beverage costs and associated fees for the duration of the open bar service.

    • Host Covers: The cost of all beverages consumed, staff labor charges, the 20% Gratuity & Administration Fee (applied to the total food and beverage bill), and the 8% Maine State Tax (applied to the total beverage bill).

    • Best For: Complete event freedom and providing the ultimate hospitality experience for all guests.

    2. Cash Bar

    Guests cover the cost of their individual drinks for all or part of the event. This option limits the host's financial risk.

    • Host Covers: Staff labor charges (based on the required number of bartenders/servers for the event), and the 20% Gratuity & Administration Fee (applied to the total event food and labor costs, plus the estimated beverage consumption).

    • Guests Cover: The cost of all drinks consumed, plus the 8% Maine State Tax and a standard service charge (or tip) per drink.

    • Note: For consumption-based bars, the 20% Gratuity & Administration Fee is calculated on the expected consumption for the event.

  • Your flat-fee beverage pricing is based on the package you select, which dictates the level of customization and duration of service.

    I. The Essential Bar Package - $47/pp

    This package is designed for ease (with an economic benefit), providing a fantastic 6-hour service that covers all the essentials for a gorgeous event with cocktails based on our Seasonal Menu offering and Tops’l Choice beer & wine. You receive a dedicated 1-hour cocktail service featuring our lovingly curated seasonal menu, plus continuous service of our house-choice biodynamic wines and local craft beers for the entire duration. This streamlines your planning and offers significant savings while still including high-quality, thoughtfully crafted non-alcoholic beverages and all necessary rentals.

    II. The Curated Bar Package (same as above, extended cocktails) $57/pp

    This comprehensive package provides full 6-hour open bar service designed for effortless elegance. Our Beverage Team will review your culinary menu to make expert selections of biodynamic wines and local craft beers from our cellar that perfectly match your dinner. It includes a standard offering of our thoughtfully crafted, seasonal cocktail options and high-quality non-alcoholic beverages, ensuring a gorgeous and cohesive event.

    III. The Signature Collection: Bespoke Bar Service - $79

    Our top-tier, full-event beverage package, providing 6 hours of personalized service designed exclusively for your event. All the choice and customization. You collaborate with our Beverage Manager to create up to three signature craft cocktails using premium, in-house ingredients. The package also includes specific a la cart selections of our biodynamic wines and local craft beers, plus all premium glassware and non-alcoholic artisan offerings.

    Please note these prices are for beverages only - staff (service, setup, cleanup rental handling), gratuity, admin fees & tax are not included in the per person price.

    Once all selections are made in LOGBOOK, we will create a custom draft proposal for you with all pricing.

  • Prices for beverages do include our house glassware. Wine glasses, beer glasses, water glasses as well as mismatched vintage cocktail glasses (coupes & rocks). If you wish to bring in your own rentals, our feelings won’t be hurt!

    For events over 130, we do require that you bring in your own rentals as it is challenging for our dish team to be able to separate our rentals from outside rentals. We can discuss ways to simplify this - but in general for guest counts over 130, we will need to discuss a rental contingency plan.

  • Tops’l has a lovely interior bar setup on our barn porch as part of the event fee in the barn.

    If additional bars are required as part of the setup, (for example in a tent or outside) this will result in an additional event production fee of $600 and additional labor to staff during the event.

  • Standard Coffee & Tea Service

    Provide your guests with a warm, comforting conclusion to the meal. This self-serve station features a premium local Maine-roasted coffee blend and a selection of high-quality teas (includes cups, cream, sugars, and self-service setup/maintenance).
    Cost: $5 per person

    Premium Coffee & Tea Service with Coffee Cart
    Elevate your guests' experience with our premium, full-service coffee and tea station. Our beautiful custom coffee cart provides a bespoke, interactive experience, featuring our full selection of Maine-roasted coffee and local teas. Each cup is served by a dedicated attendant in an elegant collection of mis-matched authentic vintage china cups, accompanied by a delicate, house-made gourmet tea biscuit. It's a charming and sophisticated touch that invites guests to slow down and savor the moment.
    Cost: $12.50per person

    A Note About Coffee Guest Counts:

    We've found that if one guest requests coffee, it quickly becomes a popular request, making it tricky for us to accommodate last-minute. We ask that if coffee is served at all that it is planned at a minimum for half of the guest list attending.

  • Policy on Custom Beverage Requests

    To maintain consistency and compliance with Maine state liquor laws, we utilize our approved distribution channels for all alcohol served on the property.

    Custom Sourcing: If you require a specific brand or varietal that is not listed on our established menu, we are happy to conduct a special sourcing inquiry through our licensed distributors and integrate the cost into your customized beverage package.

  • A $1000 payment is due at the signing of your contract.

    All remaining fees for the original beverage contract will be due 90 days before your event.

    At 30 Days prior to your event a final reconciliation (Final Change Order) will be created tooutline any new fees or refunds.

  • Our flat-fee beverage packages are comprehensive and designed to ensure every guest enjoys a sophisticated bar experience, regardless of their drink choice.

    Inclusion of Premium Non-Alcoholic Offerings

    We do not reduce the per-person package cost for adult non-drinking guests, as the fee includes the following dedicated investment:

    • Elevated Craftsmanship: We take great care to offer lovely, hand-crafted mocktails, house-made sodas, and premium non-alcoholic beer and wine options. These beverages often utilize house-made juices, bitters, and complex infusions, requiring the same skilled labor and high-quality ingredients as our alcoholic cocktails.

    • Full Service: The fee covers the dedicated staffing, preparation, and elegant glassware required to serve these specialty beverages throughout the event.

    This flat-fee inclusion guarantees that all adult guests are offered a sophisticated, high-end selection that aligns with the quality of your overall event.

    Children and Beverage Counts

    Children: Guests under 21 are not included in the alcoholic beverage headcount and are not charged the per-person bar fee. Their soft beverages are included in the overall F&B service costs.

  • We understand the desire to feature a specific, sentimental wine at your event. While all alcohol must be procured through Tops'l Farm due to our liquor licensing, we allow an exception for pre-approved specialty wines with a corkage fee.

    A handling and service fee of per bottle will be applied to all pre-approved outside wines.

    This fee is not a penalty; it is an investment that covers the labor, equipment, and liability required to serve outside products flawlessly:

    • Professional Service: Covers the dedicated labor for chilling, uncorking, professional pouring, and service by our FOH team.

    • Liability: Ensures the wine is covered under our liquor liability policy while being served on-site.

    • Glassware & Cleanup: Includes the use of our high-quality stemware and the intensive cleanup required after service.

    Logistics & Service

    Please deliver your approved bottles to the Event Barn upon your arrival. Our team will take custody, chill the wine to the proper temperature, and manage all uncorking and table service throughout your event. We will diligently track every bottle opened and ensure all unopened bottles are safely returned to you at the end of the evening.

    Crucial Note: This policy is strictly limited to pre-approved wine and does not apply to any other forms of outside alcohol (beer, spirits, or cocktails).

  • We believe the best cocktails are crafted with purpose. At Tops’l Farm, we love serving drinks that are made with care, rooted in Maine ingredients, and becasue we make everything in-house, support the rich agricultural history maintained by our farmer friends.

    You'll notice we forego cute names and flowery descriptions. Our focus is squarely on uncompromising quality and flavor.

    Your choices:

    1. If you choose our Seasonal Menu selections for bar, that is all you need to pick in the Event Services form! There will be a spot to note preferences/aversions for spirits, which will be helpful for our team as we pull together your menu.

    2. À La Carte: Go ahead and select 2 to 3 flavor profiles from our list of cocktails that appeal to you with a note on your spirit preferences if they differ from our suggestions.

    3. If you are opting for our The Signature Collection: Bespoke Bar Service - simply choose this in your Event Services form in LOGBOOK and include your preferences in the notes section. We will connect you with our Beverage Director to plan your custom cocktails and menu!

    4. Standard Offerings: For specific requests like Gin & Tonic, Bourbon & Soda, and other foundational mixed drinks, please outline these in the notes section of your Event Services form in LOGBOOK. We will ensure a selection of these standard offerings are included in your final menu.

      IMPORTANT Operational Note: For safety and seamless service, we do not serve shots or neat drinks at our venue.

  • After nine seasons of hosting spectacular events, our experience has shown us that certain boundaries are essential to ensure the magic lasts all night. This professional guidance allows our small but mighty team to guarantee two things: everyone stays safe and has a great time, and service is seamless and streamlined.

    Non-Negotiable Bar Service Policies

    The following limits are strictly enforced by our bar staff to protect your event's flow, maintain legal compliance, and ensure guest safety.

    Policy: Drink Volume

    • The Limit: One Drink Per Guest, Per Order.

    • Purpose for Your Event: Prevents immediate over-consumption, ensures compliance with liquor liability laws, and keeps the bar line moving quickly for all guests.

    Policy: Specialty Service

    • The Limit: We do not serve shots, neat spirits, or complex high-proof cocktails (e.g., Martinis, Old Fashioneds).

    • Purpose for Your Event: These drinks are potent and require time-intensive preparation (shaking, stirring, multiple ingredients) that severely slows down service for your entire guest list. This restriction prioritizes fast, high-quality service for your chosen menu.

    Policy: Cocktail Focus

    • The Limit: Only Your 2 to 3 Signature Cocktails will be served during peak service.

    • Purpose for Your Event: Ensures your bar staff can efficiently execute your chosen signature drinks. Off-menu requests will not be available.

    Policy: Closing Time

    • The Limit: Last Call will occur 30 minutes prior to the bar's scheduled closing time.

    • Purpose for Your Event: Provides a safe transition for your guests and ensures a structured end to the evening, preventing late-night issues.

    Policy: Outside Alcohol

    • The Limit: Strict Prohibition of Outside Alcohol Consumption.

    • Purpose for Your Event: Protects our Maine state liquor license and insurance policy. Any consumption of alcohol not provided or served by our licensed staff is a direct violation of your contract.
