Event Planner

Job Description
The Event Planner is a key-holder position reporting to the Owner and will play a critical role in our upcoming season for guest services and event operations.
He/She/They will be responsible for overseeing opening or closing tasks during Tops'l events, acting as manager/lead server on duty on specific shifts, and supporting the Event Manager during our busy summer schedule of events. As we continue to grow, as will the opportunities within this position.
This is a hybrid role of providing some on-site support during set-up and planning days (non-event times) as well as FOH lead during events/meals.
Key Job Responsibilities:
· Participating in pre-event calls with hosts as required. We have a specific schedule for these calls and will need to confirm availability so that an introduction to hosts will be possible.
· Opening the barn, greeting clients, and answering guest questions
· Prepping furniture, tableware, decor, silverware, etc. as they are required for each event
· Maintaining and enforcing proper organization in Tops'l back of house areas
· Overseeing the completion of setup/closing tasks with server/bar staff
· Working with BOH during meal service to ensure excellent service and culinary delivery
· Overseeing Event Staff to make sure work is being done efficiently
· Enforcing last call and bar closing times (music off at 10 pm)
· Communicating with offsite Director of Operations to troubleshoot complex issues
· Walk-through at closing with host Wedding Planner to (Checking for and noting any damages to the property and Tops'l items)
· Working with the bartender to properly track and log beverage consumption in the POS system
· Confirm side work is completed by event staff as required prior to departure
· Dismissing staff as needed as event progresses & work slows
· Working with external coordinators to complete final venue walkthroughs
· Overseeing staff clock outs and locking up the building
· Completing a post-event recap of damages, notable occurrences, areas of improvement, etc. prior to departing.

Schedule & Commitment
If interested in this role, we will review the Summer 2024 Event Calendar together and secure specific dates based on our need and your personal availability. Our season kicks off in May 2024 and continues to be (very) busy through November. However, if you are only available for a certain portion of our event calendar but are interested in digging in with us - we would still love to chat!
